Making the Change ...
Through careful planning and scheduling, the change over to using INTACT Software is seamless



 

Step 1. The Sales Cycle
From your initial contact with INTACT Software, your enquiry will be dealt with in a professional manner. After sending out the initial sales literature, we will follow this up with a detailed demonstration of the Software. Using a Demo data set, the benefits of the system should be clearly evident. This will then be followed up with a detailed quotation. Having carried out an initial assessment of the software and costs, we will then follow up with a more detailed demonstration with key staff. We recognise that INTACT will not identically replace any package and as such, it is at this stage that any critical omissions are recognised. If necessary, a detailed Hardware Audit will be carried out to ensure that the equipment is adequate to run the INTACT Software. A final quotation is provided and when accepted, a follow up meeting with the Senior Consultant assigned to the project is arranged.

Step 2. The Planning Stage
Once the Consultant is appointed to the project, he/she will meet with the appropriate person(s) within the client company. At this stage, the key users and their roles are identified and a draft implementation plan is put in place. This will identify key milestones in the project such as Go-Live dates, Training Dates, Hardware installation. Personnel issues such as holiday arrangements as well as accounting items such as month end dates etc. are all key factors in deciding timescales.

Step 3. Setting up Training Company
The Consultant will then begin work on converting the existing data. This is critical in assessing if any re entry of data is required. If necessary, we can export the information into an intermediary package such as Excel so that codes, descriptions or records can be edited or deleted before importing the data into INTACT. This data is then imported to set up a training company in INTACT. This provides the consultant and the company a relevant data set on which to work and train.

Step 4. Designing Forms and Reports
With the Training Data now available across the network, any hardware issues will be addressed. The Consultant will begin work on designing the various forms and reports. Whilst the system comes with standard forms and reports, most companies wish to use their existing pre-printed stationery. Accounts personnel will also have the reports that they use as standard and we will endeavour to provide these.

Step 5. Detailed Training Plan
Our aim is to ensure that all relevant users receive the maximum exposure to the system in advance of it going live. While we recognise that the finer points of the system will only be picked up over time, it is imperative that all users are familiar with the parts of the system that relate to their job role. Trade Counter Staff in particular who are dealing with the public and responsible for keeping the invoicing going are key people.

Step 6. Go-Live
Once all systems and procedures are in place, the actual Go-Live date of the software should be straightforward. We would recommend that the consultant be on-site to address any issues that may arise at this stage. Users will begin to see the benefits of the INTACT system and our consultant will be on hand to demonstrate other useful features within the software.

Step 7. Appraisal
Once the system has been up and running for some time, we recommend a follow up meeting to determine if there are any outstanding issues regarding Reports, Functionality or Forms. We also use the opportunity to ensure that the various accounts balance and view the audit trail to make sure all users are operating the system correctly. Depending on the complexity of the Reporting requirements, we often times recommend that additional consultancy days are budgeted for. This allows the Consultant work alongside the financial controller to ensure that the various Management and Operational Reports are easily reproduced for any accounting period.
